Job Description for Housing Finance Clerk

This job involves responsible handling of checks/money orders/cashier checks and general clerical work.

The employee is responsible for the receiving of payments for rent and other resident charges, for the security of funds collected, and for the preparation and maintenance of records and reports of these activities.  The employee also performs general clerical duties for the Housing Services Division.  Employee works with considerable independence in performance of routine tasks in accordance with established procedures.  Duties are performed under the supervision of the Vice President of Housing Operations and are reviewed through observation and review of records for accuracy and completeness.

Housing Finance Clerk Responsibilities:

  • Receives payments from residents for rent, utility overcharges, and charges for sales and service; maintains records on resident deposits; collects unpaid security deposits; issues receipts and posts payments; verifies funds on hand against receipts; prepares bank deposits.
  • Prepares daily statement of operation which includes a summary of transactions with residents and a classification of all charges and credits.
  • Answers telephone and in-person requests for information about rent, utilities, applications for housing; handles or refers to proper person.
  • Posts rent, utility, sales and services, and other charges; reconciles with control accounts; prepares adjustment slips and posts in Yardi software.
  • Prepares division correspondence, reports and other records; maintains resident move out files and records.
  • Checks drop box daily, processes payment by comparing funds with tenant accounts, verifies negotiability of checks, and records receipts.
  • Inputs rent changes into computer.
  • Prepares warrants/and or writs for non-payment of rent, post to proper accounts and deliver to appropriate department.
  • Prepares move-out charges and move-out letters.
  • Other duties as assigned and all administrative duties which include staff supervision (if applicable) and training for residents in the use of the Kiosk-which include making payments, completing applications, and checking waitlist status.

Related Duties and Activities:

  • Assists in the preparation of list of delinquent accounts and late notices and in the preparation of division reports, correspondence and other related work; prepares and/or deposits daily receipts.
  • Courteously handles customers complaints and questions regarding billing problems, maintenance charges, rental accounts and general questions concerning the housing authority's operations and procedures.
  • Performs related duties as required.

Housing Finance Clerk Requirements

  • Must have a high school diploma or a vocational school certification/degree.
  • Must have a minimum of three years' experience of customer service; clerical office experience a plus.
  • Knowledge of the methods of handling, receipting, and maintaining records of money received.
  • Knowledge of modern office methods and procedures, and of equipment used in recording charges and in posting and receipting payments.
  • Skill in the operation of a computer and common office machines, fax, postage meter, copier, etc.
  • Ability to make rapid and accurate arithmetical calculations.
  • Ability to understand and effectively carry out oral and written instructions.
  • Must be bondable.
  • Must possess and maintain an applicable Georgia Driver license and a driving record acceptable to the Authority.
  • Be insurable under the Housing Authority's insurance carriers.

 

Salary $15 per hour with full benefits. Work schedule is 40 hours per week. Criminal background check, Drug testing and Valid Georgia Driver's license required.
